- Landlord invites you. From their property page they enter your email and the scope (per-property or portfolio-wide). You get a signup link.
- You accept the scope. One-click confirmation. The properties appear in your agent portfolio — not the landlord's personal portfolio.
- You operate on their behalf. Tenant onboarding, pack generation, messaging, compliance — all under your login, all audit-logged to your identity.
- Landlord oversight stays on. They see a real-time activity feed of what you have done. They can pause your access at any time.
- Clean off-boarding. When the mandate ends, the landlord toggles your access off. Their data stays with them. Your action history stays audit-durable.

Portfolio, artefacts, compliance readiness
- Live Landlord profile creation Landlord creates their profile with contact details, signs user agreement.
- Live Property creation (single + multi) Landlord creates one or more properties with address, type, rooms. Multi-let support with individual room management.
- Live Contract upload & AI digestion Landlord uploads their AST (Assured Shorthold Tenancy) for AI digestion into a Tenant Trust-managed, RRA-compliant master contract.
- Live User agreement signing Landlord signs the Tenant Trust user agreement before accessing platform features.
- Live Property artefact uploads (mandatory + optional) Landlord uploads all necessary artefacts — gas safety cert, EICR, EPC, insurance, floor plans, fire procedures. Mandatory vs optional clearly indicated. Property marked "ready" when all mandatory artefacts present.
- Partial Artefact expiry tracking & renewal alerts Tenant Trust tracks expiry dates on every property artefact. Escalating alerts: 28, 21, 14, 7 days before expiry, then weekly overdue. Landlord can silence, snooze (1 day / X days), or archive.
- Live Actions tab — RAG priority queue Landlord has an Actions panel showing Red/Amber/Green prioritised actions. Deposit overdue, cert expiry, onboarding stalled, rent overdue, unread messages. Snooze (X days) or silence (until RAG escalation).
📜 Stage 2 — RRA Information Sheet — Existing Tenants
Transitional compliance for pre-RRA tenancies (deadline: 31 May 2026)
- Live Temporary transitional tooling Purpose-built for the RRA Phase 2 deadline (31 May 2026). Existing tenants must receive the government RRA information sheet. Not restricted after deadline — better late than never.
- Live Evidence of sharing (e-sign) Landlord shares the RRA pack, tenant acknowledges receipt. Both parties receive a PDF via email evidencing the sharing and acknowledgement — audit-grade.
- Live Dual email confirmation Both landlord and tenant receive an email with the PDF that evidences the sharing and tenant acknowledgement.
👋 Stage 3 — Tenant Onboarding Pack (Pre-Screening)
From email invitation to approved onboarding pack
- Live Email invitation trigger Landlord inputs the tenant email address, triggering the Tenant Trust workflow. Branded invitation email with magic link sent to tenant.
- Live Tenant onboards to platform Tenant accepts invitation, signs user agreement, completes their profile. Web-based, can be done in multiple sessions — not brittle.
- Live Artefact upload with comment threads Tenant uploads fields and artefacts. Each onboarding artefact or field has a comment thread between landlord and tenant for clarification.
- Live Landlord reviews and decides Landlord has a complete onboarding pack. They approve to progress to contract, or decline — tenant is informed nicely via email. Tenant can then offboard or remain for future use.
- Live Multi-session, non-brittle UX Tenant can work through the pack bit by bit over multiple sessions. Not an all-or-nothing process. Progress saved automatically.
- Partial MOL details for contract readiness Memorandum of Letting details captured during onboarding to feed into the contract pack.
- Live Reference requests from previous landlords Tenant can provide previous landlord email for reference. Previous landlord receives branded email, leaves feedback without needing a profile. Told about Tenant Trust as a growth channel.
- Partial Onboarding pack folder All artefacts ring-fenced to that tenant profile for that onboarding. Tenant can see their pack through their dashboard in future and re-use artefacts.
📋 Stage 4 — Contract Pack Creation & E-Sign
From master contract to legally binding tenancy agreement
- Live AI-assisted field population Contract fields pre-populated from onboarding pack data with AI assistance. Landlord and tenant must each positively confirm — autofill never presumes.
- Live Master contract selection Landlord selects one of their ingested RRA-compliant contracts for this property + tenant combination.
- Live Landlord completes contract fields Room number, tenancy start date, rental amount (weekly or monthly). Landlord fills their side of the contract.
- Live Tenant confirms and acknowledges artefacts Tenant logs in, confirms their details, acknowledges all included artefacts (gas cert, etc). Web-based, multi-session.
- Live Mandatory document guidance Tenant Trust guides the landlord on mandatory documents to include. Amber advisory when expired certificates included in contract pack — warn only, landlord retains control.
- Live Government RRA pack auto-included The mandatory RRA information sheet is automatically included in the pack. Landlord can see it but does not need to select it.
- Live E-sign workflow (multi-session) Once pack created, tenant receives email to log in and work through their side. Multi-session capable. Landlord can cancel until fully completed.
- Partial MOL compliance documented Memorandum of Letting compliance acknowledged and documented within the contract pack.
- Live UK-law compliant e-signed PDF Both parties receive PDF at their registered email addresses. UK law e-sign compliant. Available through the application at any time.
- Live Document vault — past and present Landlord can view/download past and present contracts through property dashboard and document vault. Tenant via their dashboard.
🏡 Stage 5 — Tenant Is Onboarded to Property
Live tenancy — from start date to daily management
- Live Legal tenancy from start date Tenant has a legal contract and is considered onboarded from the tenancy start date. All property access and features activate.
- Live Property documents and passwords available From start date, all passwords, codes, and property documents the landlord shares are available through the tenant portal.
- Live Onboarding pack always accessible Tenant can always see their onboarding pack — all submitted steps, status, and data. Available via My Onboarding tile on tenant dashboard even after onboarding is complete.
- Live Non-mandatory documents updated live Landlord can upload non-mandatory property artefacts, toggle visibility to onboarded tenants, and update over time. Latest copies always available.
- Live Messaging with full audit trail Tenant communicates with landlord through Tenant Trust messaging. All communications logged for future audit and evidence.
- Live AI compliance-aware messaging Issue types tagged through workflow and AI. If tenant reports mould, landlord gets private compliance advice (RRA SLA day count, suggested responses). AI buddy drafts compliant messages — advisory only, not legal advice.

- Live Deposit protection tracking Landlord records deposit receipt date, confirms TDP scheme, uploads evidence. Tenant Trust tracks the 30-day deadline with escalating alerts. Tenant is notified and sees deposit status on their dashboard.
🚪 Stage 7 — Offboarding
Exit, checkout, deposit return, eviction
- Live Tenant triggers offboarding Tenant initiates their 2-month minimum notice period through Tenant Trust. Notice period tracked and countdown visible.
- Live Checkout process with landlord Structured checkout process: landlord and tenant confirm room condition, agree deposit deductions, handle key return.
- Partial Room condition photos on exit Tenant uploads room photos on exit for evidence. Compared against pre-tenancy photos for deposit disputes.
- Live Message audit trail for disputes All messages tracked for both parties. In a deposit dispute, the message history and photos form the evidence base.
- Live Deposit return reminders Landlord reminded to release deposit. Messages and evidence speak for themselves on the platform.
- Partial AI-assisted deposit dispute drafting AI buddy helps draft messages for the deposit scheme. Packages evidence, invoices, damage claims. Drafts for landlord to review and send.
- Partial Section 8 eviction wizard Landlord guided through Section 8 process: select grounds/articles, link evidence, generate RRA-compliant notice. Export to PDF, Word, or email to self for editing.

Agents get a per-managed-property rate, below the standalone landlord tier, with a portfolio minimum. One invoice per month, one reconciliation. We are happy to discuss white-label packs and your own branding on pack PDFs at the higher tiers.
